HOSPITALITY

Coastal Hospitality Group

500+ staff, one connected operation.

Front desk, housekeeping, and management teams were communicating through disconnected group chats and phone calls. We unified six properties inside Microsoft Teams.

WHAT WE DEPLOYED

  • Microsoft Teams
  • Microsoft Bookings
  • SharePoint
  • Teams Phone
THE CHALLENGE

Where They
Started.

Front desk, housekeeping, and management teams across six properties were communicating through a patchwork of personal group chats, walkie-talkies, and phone calls. A guest request could bounce between three group chats before reaching housekeeping, shift handoffs relied on whoever remembered to call the next person, and corporate had no consistent way to reach staff across properties at once.

  • Guest requests routed through informal group chats with no accountability
  • Shift handoffs depended on someone remembering to make a phone call
  • No consistent scheduling system — each property ran its own spreadsheet
  • Corporate announcements reached some properties days after others

If this sounds like your environment, the first conversation is free and takes 15 minutes.

THE WORK

What We
Did.

We unified all property operations inside Microsoft Teams with Bookings integration and shift-based channels, giving every property the same structure and corporate one channel to reach everyone at once.

01

Property-by-property Teams rollout

Deployed a standard Teams structure — front desk, housekeeping, maintenance, management — to all six properties on the same template.

02

Shift-based channels

Replaced ad hoc group chats with channels scoped to each shift, so handoffs are a pinned message, not a phone call.

03

Bookings integration

Connected Microsoft Bookings to housekeeping's Teams channel so room-turnover requests appear automatically.

04

Company-wide rollout and training

Ran short in-person training at each property so staff were comfortable on Teams from week one, not month three.

We'd scope the same kind of engagement for your business, with timelines and effort against each stage.

Six properties used to mean six different ways of doing things. Now a manager can cover a shift at a property they've never worked and know exactly where to look.

A boutique executive search firm

A boutique executive search firm nearly lost the one thing its whole business runs on, the trust in its founder's inbox. Here is exactly how the attack worked, the questions we asked, and every PowerShell step we ran to contain it.

A logistics company

Like a lot of growing operations, this logistics company approved invoices by forwarding emails. Someone then tracked who had signed off in a shared spreadsheet, retyping the same details every day. It worked, right up until the person who knew the spreadsheet went on vacation. The cracks showed in the usual places. Approvals sat unread at the bottom of inboxes. Nobody could say for certain who had signed off, or when, without scrolling back through an email chain. A mistyped number was caught late, if at all. The team did not want yet another subscription, another login, another monthly fee for an approval tool. They wanted the process fixed, inside the tools they already trusted. They thought they needed to buy an approval tool. It turned out they already owned everything they needed.

A field services company

This field services company had rented an off the shelf tracking tool for years. It almost fit. The field teams bent their day around the software, not the other way round. Every month the subscription invoice landed for a product nobody loved. Half the fields were ignored, and the one screen they truly needed was never there. When they looked at the alternatives, the story repeated. Every serious platform meant a bigger monthly fee and a long onboarding. Each one added another login and another place their data would live. They did not want a heavier rental. They wanted a tool that matched how they worked, and they wanted to own it. They did not want a heavier rental. They wanted a tool shaped around their work, living in their own system, that was theirs to keep.
