A boutique executive search firm

Professional Services

Challenge

A boutique executive search firm nearly lost the one thing its whole business runs on, the trust in its founder's inbox. Here is exactly how the attack worked, the questions we asked, and every PowerShell step we ran to contain it.

What We Did

The audit trail told a clean, damning story. The attacker had a valid session, most likely from an earlier adversary in the middle phishing link that stole the sign in token, which is why multifactor authentication never intervened.

A logistics company

Manufacturing

Challenge

Like a lot of growing operations, this logistics company approved invoices by forwarding emails. Someone then tracked who had signed off in a shared spreadsheet, retyping the same details every day. It worked, right up until the person who knew the spreadsheet went on vacation. The cracks showed in the usual places. Approvals sat unread at the bottom of inboxes. Nobody could say for certain who had signed off, or when, without scrolling back through an email chain. A mistyped number was caught late, if at all. The team did not want yet another subscription, another login, another monthly fee for an approval tool. They wanted the process fixed, inside the tools they already trusted. They thought they needed to buy an approval tool. It turned out they already owned everything they needed.

What We Did

Before, an invoice was approved by forwarding an email. Someone then retyped the details into a spreadsheet to track who had signed off. We replaced that with a single Power Automate approval flow inside their own tenant. An invoice arrives. The flow checks who should approve it. The actions fire in parallel, and the decision lands as a record nobody has to type. Here is the shape of what we built. The history and data live in SharePoint Online within their own tenant. Approvers can action requests right inside Microsoft Teams. It is the same approach behind every Power Automate workflow we build, on the Microsoft 365 a client already owns.

A field services company

Manufacturing

Challenge

This field services company had rented an off the shelf tracking tool for years. It almost fit. The field teams bent their day around the software, not the other way round. Every month the subscription invoice landed for a product nobody loved. Half the fields were ignored, and the one screen they truly needed was never there. When they looked at the alternatives, the story repeated. Every serious platform meant a bigger monthly fee and a long onboarding. Each one added another login and another place their data would live. They did not want a heavier rental. They wanted a tool that matched how they worked, and they wanted to own it. They did not want a heavier rental. They wanted a tool shaped around their work, living in their own system, that was theirs to keep.

What We Did

Before, every inspection and claim ran through a rented tool that almost fit. Field teams keyed details into screens built for someone else's business. The office retyped the same information to track status. Updates traveled by phone call and message, because the one view they needed was never there. We rebuilt the process around how they actually work. The field user opens a single app and captures the job with only the fields that matter, setting status, priority, and deadline as they go. Power Automate then carries that record forward. The office sees the same update the moment it is saved, with no retyping and no chasing, all inside their own tenant. It is one of many tools we build inside Microsoft 365 instead of outside it. The same approach sits behind Listique360, our ClickUp replacement built in SharePoint. The capability lives in your tenant, and the data never leaves it.

An online retailer

Retail & Wholesale

Challenge

This online retailer ran the business from a handful of team addresses. Customers wrote to info@, leads landed in sales@, and order questions went to support@. The trouble was how those addresses had been built. Each one was set up as a normal user account with a paid license, and the whole team logged in with one shared password. That created two quiet problems at once. Nobody could see who had answered what, so replies got missed or doubled up. The shared password was a security risk every time someone joined or left. On top of that, the business was paying for licenses on addresses that never needed one. A shared mailbox in Microsoft 365 is free when it is set up properly. They were paying full price for three.

What We Did

A shared mailbox is a single address that several people open from inside their own Outlook. There is no separate login and no shared password. Everyone reads and replies from the same place, and every message in and out sits in that one mailbox. Send as makes sure replies leave from the shared address, not a personal one. Here is how info@ fans out to the team. It is one email address that several people open from their own Outlook. There is no separate sign in and no license to buy. It suits team addresses like info@, sales@, and support@. Everyone sees the same mail, and replies are shared across the team. We do this kind of quick win inside the plan you already own as part of our Microsoft Office 365 Support. Often it is the small free fix that starts a longer relationship.

A growing construction firm

Manufacturing

Challenge

The owner ran the business. They were also the person every Microsoft 365 question landed on. A password reset here, a new hire's laptop there, a mailbox that stopped syncing, a Teams setting nobody could find. None of it was their job. All of it was eating their week. As they put it to us, they did not want to figure this stuff out anymore. It was not what they did, and it took too much time. They were not looking for a one and done fix either. They wanted a partner that could grow the system as the business scaled. Every IT problem had no home except the owner's inbox, and the owner had a company to run.

What We Did

The plan is built to feel calm. A named team that already knows the firm, a known channel for every request, and regular health checks. The people side of growth is handled too, so onboarding a new hire or offboarding a leaver is routine, not a scramble. It is the same continuous care behind every Microsoft 365 managed support retainer we run. No lock in surprises. And honest advice in the mix, including the times the answer is that you do not need to spend at all.

A manufacturer

Manufacturing

Challenge

The team lived in Outlook, Teams, and SharePoint every day. The bills came in every month. What leadership did not know was whether any of it was set up safely. There was no internal IT person to ask. The honest answer to where the biggest risks were was a shrug. The worry was not one specific fire. It was the feeling of flying blind. Were licenses being wasted on people who had left. Was sign in actually secure. Were files scattered in places nobody could find. They wanted the full picture in one place before any big project or spend. The fear was not a single fire. It was not knowing where any of the fires might be.

What We Did

The whole point of the sweep was to turn a shrug into a clear picture. We reviewed six areas of the tenant in one pass and ranked each one. At a glance, leadership could see where the risks were, what was already healthy, and what to fix first. Here is the shape of that report, from the flags we raised to the plan that closes them. Email and deliverability were part of the sweep. Want to see where your own domain stands first? Our free DMARC record generator shows you in minutes.

An accounting firm

Banking & Finance

Challenge

This 20 person accounting firm was paying more to Microsoft than it should, and the invoice never gave it away. Each line item looked small, so for years it simply got paid. The bill kept going out and the work kept getting done. The waste sat there in plain sight. The owner sensed the Microsoft 365 spend was high but had no easy way to prove it. There was no clear map of who used what, and no time to dig through the admin center line by line. They wanted a straight answer, not a sales pitch. The waste was never hiding. It was just never questioned. Each small line item kept getting paid because no one had the time to add them up.

What We Did

Same firm, same people doing the same work. The only change is that every paid license now maps to someone who needs it. The waste came off, and the things the team relies on stayed exactly where they were. The lower number landed on the next invoice. Most tenants carry waste like this. We are 100 percent Microsoft native and make money on expertise, not on reselling licenses. Our only incentive is your bill going down.

A behavioral health practice

Healthcare

Challenge

This behavioral health practice ran a partly remote team. Virtual assistants and contractors, several of them offshore, signed into email, files, and sensitive client records every day. They were good at their jobs. The problem was where they worked. Every one of them signed in from a personal laptop the practice had never seen. There was no device management, no data loss prevention, and no clean way to remove access when someone moved on. The owner knew this quietly, the way most owners do. Client data sat on machines nobody controlled. An offboarding meant hoping a former assistant would simply stop opening files. With protected health information in the mix, that was a risk the practice could no longer carry. They wanted it fixed the week before a scare, not the week after. The risk was not a hacker. It was protected health information living on personal laptops the practice could neither see nor switch off.

What We Did

Once a device is enrolled in Intune, every check has to pass before it touches company data. The same rules that let an assistant work also let the practice cut off a lost or departing laptop cleanly. A wipe removes only company information and leaves personal photos, files, and apps alone. This is the compliance posture every managed device now reports. Getting the tenant right is the foundation that makes all of this hold. Want to check where your own email domain stands? A growing team

Professional Services

Challenge

The business ran on Google Workspace, and for a while it did the job. As the team grew, the cracks started to show. The owner wanted tighter security. He wanted a proper document structure his people could actually navigate, real collaboration in Teams, and an environment that matched how a serious business runs day to day. The first ask was simple on the surface. Move us to Microsoft 365 Business Premium, and do it without losing anything. The harder part was doing it cleanly. A migration that drops emails, breaks shared files, or locks the team out on Monday morning is worse than no migration at all. He needed it handled by someone who had done it many times, so the switch felt like an upgrade rather than a disruption. That is where we came in. Security felt loose for a business this size. No enforced multi factor, and no real device policy. Files were hard to navigate. There was no document structure people could actually find their way around. Collaboration did not match how a serious business runs. No Teams set up around real workflows. One wrong move could drop emails or break shared files. That fear was holding everything up. A migration that drops data is worse than no migration at all. The owner needed it handled by someone who had done it many times.

What We Did

We never move and delete in one step. Email, contacts, calendars, and Drive content were copied into Microsoft 365 first. Google Workspace stayed intact and readable the whole time. Only once the owner confirmed everything had landed was anything cleared from the source. It is the same no data loss method behind every Microsoft 365 migration we run. Drive content did not land in one messy pile either. We sorted it into the right places across OneDrive and SharePoint, so the team walked into a structure they could actually navigate. A professional services firm

Professional Services

Challenge

The firm had run its email on an aging host for years. The team already lived in Outlook and Office files every day, and everyone agreed the move to Microsoft 365 made sense. One thing kept blocking it, and it was not technical. As the owner put it, losing 19 years of email would be an absolute disaster. They needed to feel completely comfortable before anyone touched the mailboxes. So the whole project was built around a single promise. Nothing at the source would be removed until every mailbox had been checked and verified on the new side. The fear was not the move. It was losing two decades of history that the business runs on every day.

What We Did

We never move and delete in one step. Every mailbox, calendar, and contact was copied into Microsoft 365 first, and the old host stayed intact and readable the whole time. Only once each account was verified on the new side was anything cleared from the source. It is the same zero data loss method behind every Microsoft 365 migration we run. Part of the move was getting the domain right so mail kept landing. If you want to see where your own domain stands first, our free DMARC record generator shows you in minutes.

A financial services firm

Banking & Finance

Challenge

A 30 person financial services firm came to us knowing something was off, but not sure how exposed they really were. They handle sensitive client records every day, yet their sign in security had grown by accident rather than by design. Multi factor was enforced for part of the team and quietly skipped for the rest. No Conditional Access at all, so a valid password from anywhere on any device got in. Several accounts carried far more admin than the work actually required. Accounts from finished projects and former partners could still reach company data. The owner put it plainly. They knew enough to be worried, but not enough to fix it. In their industry a single bad sign in is the kind of scare that gets handled the week after rather than the week before. Our job was to handle it the week before.

What We Did

Before, a valid password from anywhere was enough to get in. Now every sign in is evaluated against who is asking, where they are, and what device they are on. Only a request that clears all of it is granted, and trusted. Before: a valid password from anywhere on any device was enough to get in.

A creative agency

Professional Services

Challenge

The agency had bought Microsoft 365 through GoDaddy when it first set up the business. Over time the cracks showed. They could not reach their own Microsoft 365 admin center to change a thing. Paying for security add ons that were pushed on them, not chosen. Work their licenses should have covered was simply out of reach. Billed every month for a middleman that added cost but no value. In their words, it just felt like a huge scam. They kept asking why they were paying so much when it did not make sense. They wanted out, but one fear stopped them cold. Would they lose their emails or their domain if they disconnected from the reseller?

What We Did

A migration moves your data to a new place. Defederation simply disconnects your tenant from the reseller and points administration and billing straight to Microsoft. The email, files, and domain never move. They sit exactly where they always were. We have done this for many agencies and small firms leaving GoDaddy and other resellers, so the steps are well worn. If you want the full picture first, read our complete guide on how to break free from GoDaddy and defederate to Microsoft 365 the smart way, or watch the full walkthrough on video.

A marketing agency

Professional Services

Challenge

The agency was quietly losing deals to the spam folder. The cause had nothing to do with what the team wrote, and nobody had a way to see it. Sent, then silence. Deals lost without a trace. Prospects found them weeks late, if at all. SPF, DKIM, and DMARC missing or broken. A monthly charge suspected for free DNS records. If your own quotes keep disappearing, our guide on why emails land in spam even when you think you are doing everything right explains what to check first.

What We Did

We ran the agency's domain live on the call. Within about two minutes they could see the real status of every record. Once we set them correctly, all three were passing. Want to check your own domain first? Use our free DMARC record generator to see where you stand in minutes.

Regional Medical Group

Healthcare

Challenge

Patient records were scattered across shared drives with no access controls, risking HIPAA-adjacent compliance failures. Front-desk and clinical staff shared one generic login for the records drive, so there was no way to know who had opened a file, and nothing stopped a departing employee from walking out with years of patient history on a USB drive.

What We Did

We migrated all records into a governed SharePoint structure with Purview sensitivity labels and Entra conditional access, replacing the shared drive with per-clinic libraries that log every access.

Northbridge Legal Partners

Professional Services

Challenge

Client files were spread across personal inboxes and desktop folders, causing version conflicts and slow document turnaround. Partners would attach the wrong revision to a client email, associates duplicated work because they couldn't see what had already been drafted, and matter status lived only in whoever's head last touched the file.

What We Did

We rolled out SharePoint client portals with automated intake workflows in Power Automate and Planner-based case tracking, giving every matter one authoritative folder and a visible pipeline.

Alden Manufacturing Co.

Manufacturing

Challenge

Managers had no visibility into shop-floor production data; they relied on end-of-day paper reports that were often a full shift stale by the time anyone read them. A stalled line or a failing part could sit unreported for hours, and maintenance requests were phone calls and sticky notes that regularly got lost between shifts.

What We Did

We built live Power BI dashboards fed by shop-floor sensors and a Power Apps maintenance request system, so issues surface the moment they happen instead of the next morning.

Coastal Hospitality Group

Hospitality

Challenge

Front desk, housekeeping, and management teams across six properties were communicating through a patchwork of personal group chats, walkie-talkies, and phone calls. A guest request could bounce between three group chats before reaching housekeeping, shift handoffs relied on whoever remembered to call the next person, and corporate had no consistent way to reach staff across properties at once.

What We Did

We unified all property operations inside Microsoft Teams with Bookings integration and shift-based channels, giving every property the same structure and corporate one channel to reach everyone at once.

Ferris & Cole Retail

Retail & Wholesale

Challenge

Manual reorder spreadsheets, maintained by two buyers who didn't always talk to each other, led to frequent stockouts on fast-moving items and duplicated purchase orders on slow ones. By the time a stockout showed up in a weekly report, the store had usually already lost several days of sales on that item.

What We Did

We automated reorder workflows in Power Automate, connected to live inventory reporting in Power BI, so both buyers work from the same real-time numbers and reorders trigger before shelves go empty.

Summit Valley School District

Education

Challenge

Hybrid classrooms lacked a consistent platform — some schools used Teams, others used a mix of email and paper handouts, and device management was handled manually, school by school, by whichever staff member happened to know the most about computers. A device issue at one school could take days to resolve, and there was no districtwide way to push a security update or lock a lost device.

What We Did

We deployed Microsoft 365 EDU with Teams-based hybrid classrooms and Intune-managed device fleets across the district, giving every school the same platform and IT one console to manage every device.
